There is no advance disclosure as to where your conference equipment is located and what number our conference will need to call. Where are your local connections?

We do not specify the location of our servers because they are located all over the continental US. We also have servers in the United Kingdom for our European customers. Each conference call can be different and may be allocated to any of our servers, depending on several factors, including conference size, length and overall demand. Plan for conference calls to be at the domestic long distance rate your carrier charges for interstate calls.

Can I call in to the service from out of the country when traveling, for instance, in France, Canada, Japan or Mexico?

Yes. You should be able to reach our conference systems from anywhere in the world. Of course, you will incur international long distance charges if you are not within the United States when you call. Our Premium service provides toll-free numbers that can be reached only from within the fifty United States and Canada. If you use our Web-Scheduled Premium 800 service we provide a long distance dial-in telephone number for use by callers who are outside the USA and Canada.

Some of my conference participants will be in different time zones. How is that handled?

Your conference can include people from anywhere in the world. The system will keep track of the different time zones each participant is in so that everyone receives notifications converted to their own local time. You indicate the time zone for each participant when you add them to your address book or to a conference invitee list. We will send an e-mail invitation message to each of the participants in your conference call informing them of the conference date and time and providing them with a chance to accept or decline your invitation.

Are the conference calls private and secure?

Yes. There are several different privacy features. Each call has a unique Participant Access Code for entry. Participant Access Codes are uniquely assigned for all services with the option to choose your own for our Web-Scheduled services. Also, there is a short tone heard on the conference call whenever anyone exits or enters the conference. Additionally, the conference organizer can press the pound,or "#" touch-tone to hear how many other parties are on the call. In addition, the conference organizer may lock the conference by pressing "5" on the touchtone keypad to prevent additional persons from entering the conference. See also Hotkeys.

Alternative Dial-in Number

This is the additional Dial-in Number provided for international callers participating in a Web-Scheduled Premium 800 conference. Since only callers in the 50 United States and Canada can access our toll-free numbers, the Alternative Dial-in Number guarantees access for callers anywhere else in the world. A caller who uses the Alternative Dial-in Number pays the rates charged by his or her long distance telephone company to call the U.S. As Organizer of the conference, you pay $0.10 per minute for every caller, regardless of the Dial-in Number used.

Computer Download

The means to retrieve and save your Conference Recording for playback on multimedia computers and digital audio players. Download is only available when Conference Recording is selected for a Web-Scheduled Premium 800 conference. We provide you with a hyperlink to your recordingin MP3 format. Once you download the recording you can burn it to a CD-ROM, save it on your computer, or send it by e-mail to your friends and colleagues.

Conference Starts when Organizer Arrives

When this conference control is enabled, the conference begins for all Participants when the Organizer enters the special Organizer Access Code. If more than one conference Participant uses the Organizer Access Code, the conference begins when the first Organizer Access Code is entered. This allows the Organizer to prevent the conference from starting in his absence. CAUTION: If the Organizer is late for the conference, the conference will not start until his or her arrival! Participants may abandon the conference or think they cannot be heard.

Conference Ends when Organizer Leaves

When this conference control is enabled, the conference will end when the Organizer exits theconference. If more than one conference Participant uses the Organizer Access Code,the conference ends when the last person who entered the Organizer Access Code exits the conference. CAUTION: If the Organizer accidentally hangs up or is disconnected from the conference, everyone else will also be disconnected! For this reason, the Organizer should not use a cell phone or any phone likely to drop the call and should make sure that any Call Waiting features are turned off for the duration of the conference!

Consultation

A private, two-party sub-conference. Any Participant can take advantage of this control by first obtaining his Caller Code using the “2” on the telephone keypad, exchanging Caller Codes with the other consultant and then using the “1” on the telephone keypad to enter the consultation.
